1. Enterprise Quality Reporting for a Renowned Financial Services Organization

Scenario

The securitization process of a large financial services organization had to be transformed because of its impact on the secondary mortgage industry. A three-year-long program involving three large financial services institutions and a governing body needed high-quality reporting on the progress of the program. The program had half a billion dollars of investment at stake. The reporting process needed to streamline the tracking and monitoring of issues and impediments while letting the stakeholders concur on various aspects of operations based on real-time reports. The reporting system was imperative in helping the stakeholders make informed decisions while also helping with predictive analysis.

Sufficient data had to be procured from all the three participating financial organizations that used five different enterprise tools which have their distinct configurations and custom processes. The tools used were:

  • Two instances of HP ALM
  • Rally Dev
  • IBM Clear Quest
  • Service Now

Handling these tools concurrently posed the following challenges:

  • A universal report had to be generated to accommodate meaningful metrics and parameters to all four organizations
  • A consistent, reliable, and timely mechanism had to be put in place to generate reports
  • A secure method of reporting with appropriate controls in place had to be devised to protect sensitive information from exploitation and vulnerabilities that would disrupt the enterprise system and have a devastating impact on the markets
  • The system needed to have the ability to reflect changes dynamically and generate instant reports periodically at regular intervals

The Resolution using the Qualitics Approach

Step #1

Process / Data Normalization

Qualitics studied and analyzed the existing business processes of different organizations and how the supporting tools are configured. Since the business processes are bound by other internal supporting processes, they cannot be changed without impacting the modus operandi. Hence, a mechanism was developed deftly to fetch data from the supplying organizations into a common repository by writing VBA macros, SQL scripts, and Python Programs that made seamless connections to all the tools in different organizations effortless and productive.

Qualitics analyzed and timed the extensive 32-step process that took nearly 4.5 hours to generate an individual weekly report to eliminate the bottlenecks and dwindle error-prone areas.

Conclusive Reprise

Quality reporting by Qualitics is consumed by 300 stakeholders including executives and key decision-makers of enterprises. It is being carried out every day since February’ 2017 without hiatus for a single day including holidays and furloughs of the client. The errors in reporting are encountered rarely, while new reports can be developed, implemented, and stabilized within a week. The requirement for reporting support at late hours and weekends was significantly reduced. There was a great symphony in the way this mechanism catalyzed process optimization and the implementation of Blue Prism.

The key factors to success come with an in-depth understanding of the business processes, application of engineering methods to optimize the processes, and using the right tools and technologies such as python, SQL scripts, VBA scripts to automate miniature steps in the processes.

2. Impact Assessment using Robotic Mapping Utility

Scenario

Typically, Qualitics handles very large programs involving multiple external stakeholders with a project complexity that spans from multi-year to multimillion-dollar investments.

This may involve releasing many versions of specific software into many environments with each version having its own key issues.

Our client had the problem of mapping the known issues in a given version to a corresponding environment in order to have an impact on a planned activity. In this case, 50+ users were working on 6 different workstreams supporting 21 different environments which were a profound struggle. It was a herculean task to effectively conduct this impact assessment on a daily basis and provide actionable feedback to the development team. The situation was chaotic, work was labor-intensive, tasks were repetitive, and the certainty of a favorable outcome was low.

The Resolution using the Qualitics Approach

By shadowing the users for a week, we understood their tasks, documented their processes, analyzed the data feed, and built a custom solution using in-house emerging technologies. The solution incorporated a simple interface that enabled anybody to take any two sets of data with unique identifiers and mapped them to each other based on a list of keywords, the power of matches, or cross-referencing an example is a defects list and test cases or release notes and test cases.

The solution then sifted through the defects, test cases, and their execution status on various versions across different environments and narrowed down the issues to zero in on a selected few that required manual analysis to be performed by the users. Later, we built the processes and controls to further stabilize the mechanism which yielded a high degree of success in pinpointing the issues and diagnosing the root cause.
